The step-by-step statuses your tasks move through — the same shape applied consistently across every project.

Workflows are the step-by-step statuses your tasks move through, from To do through In progress to Done. They give every project the same structure so your team always knows where a piece of work is at, and reporting stays comparable across projects.

Every workflow shows how many active projects are using it, so before you edit or delete one, you know exactly how much of your workspace it touches.

Editing a workflow

Open any workflow to see its statuses, grouped into three fixed sections: To do, In progress, and Done. Every workflow needs at least one status in each section — that's what powers reporting, board grouping, and project health checks across Trellis.

Within each section, add new statuses with + Add To do / In progress / Done status. Each status has:

  • A name, shown on tasks, boards, and project status indicators
  • A colour, used across boards, timelines, and badges to make statuses recognisable
  • An icon, letting you differentiate similar statuses at a glance

Rename or delete a status via the three-dot menu, and drag rows to reorder them within their section. The order sets the column layout on any board using this workflow.

Trellis won't let you delete the last status in a section. Every workflow needs at least one To do, In progress, and Done status to stay functional. If you're trying to remove a status that's still in use on active tasks, Trellis will ask you to map those tasks to a replacement first, so nothing goes stateless when a workflow evolves.

Setting a default workflow

Select Mark as default to make the workflow the one applied to any new project created from that point on. Existing projects keep the workflow they were created with. Only one workflow can be default at a time, and the current default is marked with a Default badge at the top of its page and in the Workflows list.

Deleting a workflow

To delete a workflow, open its three-dot menu from the workflows list and select Delete.

Before deleting, check whether the workflow is connected to any active or upcoming projects. Removing a workflow that is still in use can affect how project tasks are organised, tracked, and reported.

Access to Workflows is restricted to Owners, Admins, and Editors. Members, Contributors, and Viewers can't view or manage workflow configuration, but the workflows still shape what they see on projects, boards, and tasks.
