Allocation is where you assign leave types to members of your workspace. This ensures each person has access to the right types of leave and the correct allowances so they can request time off accurately.

How to allocate leave
Managing an existing allocation
At the end of each user's profile, you'll find several options to help you manage, review, and update their leave allocation:

Adjust Leave — increase or decrease a member's leave allowance based on factors such as their time at the organisation, working pattern, or contracted hours. This only applies to leave types with a limited allowance. You'll also see a full history of any additions or reductions made to that member's leave schedule.

Load Member View — see exactly what the member sees on their My Leaves page. Useful for checking their leave is displaying correctly, confirming their setup, or deciding whether an adjustment is needed.

Export CSV — download a record of the member's allocation data for reporting, record keeping, or wider HR documentation.

Copy Data — copy the allocation data so you can paste it into a spreadsheet or external document.

Remove an allocation — remove all allocations for a member, a specific leave type, or an individual adjustment. Trellis will export the affected records as a CSV before removing them, so you always have a record of what was removed and why.

Exporting workspace-wide data
Use Export to CSV or Copy Data at the top of the page to pull the current view out for reporting, record keeping, or wider HR documentation. Any filters or search terms you have applied are respected in the export, so you can extract just the slice you care about.
Before you allocate
- Absence types need to be created first. Head to HR → Absence types to set up which leave types exist in your workspace before you allocate them.
- Your leave calendar needs to be configured. Allocation uses the workspace's leave-year settings to calculate allowances and rollovers. If it isn't set up yet, Trellis prompts you when you try to allocate. Settings live under Settings → Calendar configuration.
- Pro-rata leave depends on contract start dates. For any absence type calculated pro-rata (e.g. a member who joined mid-year), Trellis needs a contract start date on their profile. If it's missing, you'll see the type disabled with a prompt to add one via Settings → Workspace → Members.

Access to Allocation is restricted to Owners and Admins. Other roles can't view or manage leave allocations.
